This web site is owned and operated by Essential Meetings, Inc. We recognize that visitors to this site may be concerned about the information they provide to us, and how we treat that information. This Privacy Policy addresses those concerns and our commitment to protecting your privacy on this web site. The information we collect from you is used solely to register for the travel portion of the Ideal Supply travel program. The content of this web site is to provide you with information on the destination you have selected for your travel program. This Privacy Policy may be changed or updated from time to time and we recommend that you review these terms periodically.

Our Policy

Essential Meetings respects and protects the privacy of our online visitors. Essential Meetings does not disclose, give, sell or transfer to third parties any personal information about our visitors without their permission, unless required by law. Throughout its history, Essential Meetings has never shared its participants’ private or personal information with third parties. It remains Essential Meetings policy that mailing lists, both postal and electronic, are never sold or exchanged with third parties.

Credit Card and Other Personal Information

Essential Meetings uses industry standard efforts such as firewalls and Secure Socket Layers (SSL) to safeguard the confidentiality of your personally identifiable information. We make every reasonable effort to prevent the loss, misuse or theft of the information under our control. We care about the safety and security of online transactions. We use the industry standard high grade encryption and security protocol to communicate with your browser software. This method makes it extremely difficult for anyone else to intercept the credit card information you send to us. Essential Meetings will not be held responsible for any malicious breach from an outside source. Third parties with which we work process credit card transactions using high grade encryption and security protocols.

Documentation

Essential Meetings Inc. is committed to protecting your privacy. In fact, it is one of our highest priorities and remains the cornerstone of our commitment to you. We respect your privacy and want to ensure the personal information you have provided to us remains accurate, confidential and secure. We provide your personal information only to those within Essential Meetings who need it for the purposes associated with your travel program.

All Canadian citizens travelling with Essential Meetings must have a passport valid for six months following the return date. A copy of the photo page of your passport must be sent to Essential Meetings before travel documents will be released.

Important: If you are in the process of applying for or renewing your passport, please submit the registration forms by the deadline, and forward your updated passport information when it is received.

If you are not a Canadian citizen or a permanent resident of Canada, please contact Essential Meetings to determine any immigration requirements. A copy of the photo page of your passport must be sent to Essential Meetings before travel documents will be released.

Important: International Customs & Immigration have become very rigid in their entrance requirements. Anyone having any major or minor criminal offence should check with Immigration, as you may be denied entry upon check-in at the airport.

Important: Due to Customs regulations the name on your travel registration must be the same as the name on your passport.

Important: Insurance has not been included in this program.

Extensions & Special Requests

All extensions or special requests must be received in writing with the registration form as we are not able to process any request until written authorization has been received.

Requests are subject to availability, price supplements and any conditions that may apply due to your travel arrangements being booked in conjunction with the existing group program.
